Reservation General Terms & Conditions and General Information
Payment Terms The following payment terms apply to all reservations with the exception of special packages or offers where payment in full is required on confirmation.
Bookings Prior to 1st June, 50% of the total reservation amount is required within 7 days of booking to confirm your reservation. The balance of payment is required 60 days prior to arrival.
From 1st June, payment in full is required to confirm your booking.
Reservations will be cancelled without notice if monies are not received on or before the due date.
All dishonored cheques incur a fee of $40.00
Confirmations All bookings will be confirmed by email. Please ensure you review your booking confirmation and advise any discrepancies within 7 days of receiving your confirmation.
Rates Rates advertised are per person, inclusions are stipulated under each package type and are subject to availability.
Amendments A fee of $55 per amendment will apply to all reservations altered after the 50 % deposit has been paid. Amendments include name changes, package changes and date changes. Adding additional inclusions or guests to your bookings do not incur an amendment fee.
Snow Conditions Under no circumstance can Charlotte Pass Village Pty Ltd be held responsible for snow or weather conditions. No holiday package will be refunded due to snow conditions.
Cancellations All cancellations must be advised in writing or e-mail.
If notice of cancellation is received in writing at least sixty (60) days prior to arrival date, all money received, less a cancellation fee of $200, will be refunded.
If less than sixty (60) days notice is given all monies will be forfeited.
Kosciuszko Chalet Hotel will not be held responsible for costs, loss of deposits and payments made or other fees incurred due to cancellations resulting from unforeseen circumstances, medical conditions or changes to travel plans. Email cancellation notification to firstname.lastname@example.org
Travel Insurance We strongly recommend travel insurance and regard it as an essential part of your holiday to potentially protect you against loss of personal belongings, public liabilities and cancellation fees. For more detailsCLICK HERE
Holding Deposit A non-refundable holding deposit of $200 is required to secure dates for our following season. Written confirmation of the holding deposit and selected dates will be forwarded by email. All holding deposit bookings must be converted to a confirmed booking by 31st March 2018.
Refunds Refunds will not be given on “no shows” or any components of a prepaid package (lift passes, ski hire, accommodation, meals etc) that are not utilised
Room Allocations Room allocations are based on availability. At times there is a need to reallocate rooms prior to arrival.
Bedding Configuration Our rooms have various bedding configurations. Please check your confirmation details to ensure you are in a room which best suits you.
Children Where stated in correspondence and marketing materials, a child is five (5) to thirteen (13) years, a toddler is three (3) to four (4) years and an infant is zero (0) to two (2) years. Persons fourteen (14) years and over are classified as an adult.

It is a good idea to keep up to date with current road and weather conditions whilst you are travelling to Charlotte Pass Snow Resort. Tune into either Snow FM (97.7FM) or2XL (96.3 FM) for the latest roads and traffic updates.
Oversnow Transport It is extremely important to book your Oversnow transport as soon as possible. Please call our guest Services team on (02) 6457 5315.
Special Requirements Should you have any special requirements during your stay with us, please let us know before your arrival eg dietary needs, port-a-cot
Mobile Phone/WiFi There is no mobile phone service at Charlotte Pass Snow Resort. We do have WiFi available throughout the Hotel at a small charge.
Guests can be contacted by phoning our front desk on 02 6457 4200. A message will be delivered to the guest. (There are no in-room phones)
Snowcentre The Snowcentre is located at Charlotte Pass Snow Resort. Here you will find our friendly guest services staff who can help you with your extra activities on the mountain, Oversnow Transport enquiries whilst at Charlotte Pass. Our ski hire is also located in the Snowcentre.
Ski Hire If your package includes equipment hire, it is skis, stocks and boots or snowboard and boots.
Clothing hire is a parka and pants or a one piece suit.
Helmet hire is a separate item. Please note that all children participating in lessons must have a helmet.
We do not hire goggles, gloves or socks. These are items that you will need to bring with you or are available for purchase from our general store.
If your skis or board need waxing or you have minor damage that needs repairing, see our ski hire staff who will assist you where the can.
Frosty’s Chill Out Zone This is our in-house crèche for children aged 3 to 13yrs (children must be toilet trained). Frosty’s is complimentary to our Hotel guests. It involves a morning and an afternoon session of games and activities. You will need to pick your children up for the lunch time portion of the day. Frosty’s also includes Frosty’s Kids Club dinner which is from 5pm - 9pm. Dinner is for an hour and is followed by an evening of supervised activities, movies or themed nights. Please make sure you arrive to collect your children at the correct time.
Kosi Kids Snowsports Program This program is for children aged 3 - 8 years (children must be toilet trained). It includes on the snow time with instructors, a hot lunch and fun activities. This is a beginner program and is aimed at getting children comfortable on the snow so they can begin to progress their skills. The Kosi Kids Snowsports Program offers a half day or an all day program. Your child’s lift ticket is included in the price of the Kosi Kids Snowsports Program whilst they are in the program.
Lift Tickets for Children 4yrs and under Children 4yrs and under can ski at Charlotte Pass Snow Resort upon presentation of proof of age. You must obtain a ticket from the Snowcentre.
Infants Please be careful when caring you infant around the resort. We want all your family members to enjoy their time at Charlotte Pass Snow Resort. Some areas can be steep, slippery and unstable.
If you wish to take your infant on the chair lift, they must be held and cannot travel in child carriers.
We do not advise parents to have children in back packs when skiing and snowboarding, no matter how advanced you might be as the terrain and weather conditions can change suddenly.
Mountain Purchases We have several activities that run during the week at Charlotte Pass Snow Resort from flare runs for adults and children, to tubing and our standard race! These are all wonderful activities and we encourage you to try them during your stay.
If you would like to purchase additional mountain activities, these can be booked and purchased at the Snowcentre at Charlotte Pass Snow Resort.
Tobogganing Charlotte Pass Snow Resort does not allow tobogganing.
Tobacco No Tobacco products are sold at Charlotte Pass Snow Resort. You are welcome to bring in your own but please remember to be respectful of the environment when smoking and “Bin Your Butts”.
The Kosciuszko Chalet Hotel is a smoke free hotel.
